This is the most common question brand teams have and the answer is often misunderstood. In New York, the bar service company typically does not need to hold a liquor license to operate at a private brand event. The liquor license responsibility sits with the venue or with the brand itself if the event is held at their own space.
What this means practically: you can hire a bar service company to handle setup, breakdown, bartending, and the physical equipment without them needing their own license. You'll want to confirm this with your venue and check whether your event is classified as a private event or a public one, the rules differ. For most brand pop-ups, product launches, and press days at private venues in NYC, you're fine.
Your bartenders should ideally be TIPS certified (Training for Intervention Procedures), it's a standard responsible service certification, costs around $30, and protects everyone if anything goes sideways.

The single most common thing we hear from brand managers after their first activation: "I wish we'd booked the music and the bar together." The bar is the physical anchor of the room. The music is the emotional one. When they're briefed separately, they often work against each other, the bar service doesn't know what energy the DJ is going for, the DJ doesn't know the cocktail menu references, and the photos come out looking like two different events happening in the same space.
When they're coordinated, same brief, same team, the room has a coherent feeling. The bar photographs against the music energy, the cocktail name might reference the track, and the content that comes out of the night reads as intentional rather than assembled.

For a branded bar with custom vinyl wrap and a custom cocktail menu, you need at least two to three weeks. The vinyl production alone takes 5-10 business days. The cocktail menu development and testing needs time before the event. Rush jobs are possible but they cost more and the result usually shows.
For a simpler bar hire with no custom branding, one week is workable for most dates in NYC, though summer and fall (which is NYC activation season) book out fast. If you're planning for September or October, start conversations in July.
